It was great meeting with you both and we're looking forward to our collaboration with TUJ! 

Following our pilot kick-off, we would like to share the documents and resources for our upcoming pilot. Below is a summary of what the pilot entails as well as the next steps we raised and discussed during the kick-off. 

  1. Discussion points for next steps:

    • Workshops/Training sessions. Workshops and training sessions typically last between 1 and one-and-a-half hours but can be adjusted as needed. 

      • As our summer semester has started, please feel free to let me know if any on-campus sessions in the coming weeks would be helpful especially around gereral introductions and planning ahead for future sessions. 

      • All sessions including individual 1-on-1 sessions can be discussed upon request and can be hosted on-campus if helpful. 

    • Fortnightly meetings

      • Recurring pilot meeting every 2 weeks to track current usage, address any questions and/or discuss any outstanding topics. 

      • I'll send an invite for next Thursday, July 2nd, at 11:30 a.m. for our first fortnightly meeting; if needed, we can always look at alternatives.

  2. Evaluation.

    • KPIs.  In the pilot project, we would like to set some benchmarks to better evaluate this pilot and work towards common goals. The example KPI (which includes links to example surveys for both teachers and students), also attached to this email, is an example of KPIs successfully used by other institutions such as Cornell and CUHK. We can further decide which criteria would specifically measure success for TUJ and what additional ones might make more sense.

    • Evaluation meeting moments. These are proposed moments and are open for further discussion to better fit our schedule.

  3. Documents and resources

    • Project Plan. The project plan aligns us on milestones and helps us discuss and agree on main contacts and stakeholders for the coming months to ensure the success of our pilot at TUJ.

    • When available, please fill out and comment on the various points. If you have any questions, please do not hesitate to reach out!

    • Pilot Resources. The pilot resource document, attached, includes further information on the various workshop types and specific focuses as well as resources that could come in handy to share with teachers and supporting staff while using FeedbackFruits. 

  4. Integration to production

    • As discussed, Max and my colleague will meet with our main campus colleagues, Matt and Jaclyn, on Wednesday to go through the integration further. 

    • We will set up one testing environment to ensure all functionalities work properly before rolling it out and integrating it into our production environment. Once the integration is complete, we can proceed with the functionality test for TUJ and I'll ensure our tools and functionalities are enabled. We can then follow this guide to add a FeedbackFruits activity and test out the following functionalities as previously done, 

      • Group Sync

      • Deadline/Calendar Sync

      • Publishing of Grades
